Manage bookings (Follett Destiny® Media Manager)

All Bookings in Circulation lets you track and process the booking requests for your materials.

From the list, you can generate pick lists, print packing lists and booking labels, ship picked items, and edit, defer, or decline booking requests.

The requests in each section show:

  • The requesting patron and their school's Site Short Name,
  • The title, the date range of the request, and a pickup or ship icon,
  • The number of copies requested,
  • The date the booking request was made,
  • The date the request expires.

To view just a particular segment of the All Bookings list, click Customize Bookings View.
You can limit the contents of the list to any of the sections. You can also limit it to a subsection (All, Tomorrow, Within a Week) of the Pending Requests.

Processing due date

To determine when a request moves from Pending Requests to Processing Due Today, Destiny® calculates a processing date.
Using the number of days entered in the Bookings must be available box in Media Policies in the Back Office, Destiny subtracts that number from the begin date of the booking, counting either Open or Calendar days according to your preference in Site Configuration and your Calendar in the Back Office.

To decline a request

  1. If you do not want to fulfill a request, click Decline.
  2. On the confirmation message that appears, you can enter a reason (up to 200 characters) in the box.
  3. Click Yes.

The booking request moves to Declined Requests.

If your district has set up an email server, and the patron's record contains an email address, Destiny automatically sends a message to the patron. Otherwise, the patron can retrieve the message in My Info.

On the patron's My Info page, the booking status becomes Declined. If you entered a reason when declining it, clicking Declined displays the reason.

The booking request remains in Declined Requests until the end date, and then moves to Expired Requests.

If you selected the Automatically delete expired bookings after …check box in Site Configuration in the Back Office, the request is automatically deleted at that time.

To delete a booking request

At the media center, you cannot delete a booking request made by a patron from another site. The patron requesting the booking can delete it in My Info. The patron's site administrator can also delete it in Patron Status.

If the patron is local, however, retrieve the patron in Bookings or Patron Status, and click Delete adjacent to the booking request.

To pick the bookings

When processing comes due for requests, you will need to pick them, and either pack and ship them, or place them on the hold shelf for pickup.

To create a pick list, click Create Pick List.

To view a pick list, click the view icon.
To delete one, click the delete icon. Please note that deleting a pick list does not delete the bookings in it. They return to the All Bookings list. You can include them in another pick list.

To check out materials the patron is picking up

When a patron arrives to pick up their requested materials, locate them in the Patron Pickup section of the All Bookings list and click Picked up.

Destiny checks out the materials, removes the request from your All Bookings list, and adds it to the patron's Items Out section of their My Info page and their Patron Status page.

If the patron has not previously requested the materials:

  1. Open the main Bookings page.
  2. Retrieve the patron.
  3. Click Book Now.
  4. Enter the end date of the loan period.
  5. Retrieve the copy.
  6. To print a booking label, click Labels for Pickup.
To view a list of the bookings for a particular title

Locate the title in the All Bookings list. Then, click the view icon adjacent to the booking date range to open the Bookings for Title page.

To edit a booking

Locate the title in the All Bookings list, and then click Edit. You can select a new date range for the booking, and then click Save.

You cannot change the number of copies, however. You will need to create another booking for additional copies. For fewer copies, the patron can delete the booking, then you or the patron can create a new booking for the correct number of copies.
